Taking orders in chat: why one form beats twenty messages

An order needs the right name, the right address and the right documents. Collecting them message by message is slow and easy to get wrong.

Selling in chat feels personal, and customers like it. But when it is time to take the order, a chat is a poor place to collect details. The customer’s name arrives in one message, the address in three more, a photo of a document gets buried under a voice note, and somebody has to copy it all out correctly.

What goes wrong with orders in chat

  • Missing details. Somebody forgets to ask for the postal code, or the customer skips the question.
  • Spelling. The official name on a passport is not always how a customer writes their name in chat.
  • Retyping. Every detail is copied by hand into another system, and each copy is a chance for a mistake.
  • Lost files. Photos and documents sit in a chat history instead of with the order.

Send one form instead

A short form, sent as a personal link in the chat, fixes all four. It asks every question you need, in order, and won’t send until the required ones are answered. It can ask for the name exactly as on the passport, a date of birth, a phone number with its country code, a delivery address with a searchable country list, and photos or files straight from the phone.

Keep the answers with the customer

In One Infinite Inbox the answers land on the customer’s card by themselves, marked with where each fact came from. The card moves to the next step, your team can get an alert, and the order number is kept on the card once the order is made.

Make it easy to say yes

  • Keep forms short. Ask only what you need for this step.
  • Use taps instead of typing wherever you can: choices, countries, dates.
  • Say how long it takes, for example “about 2 minutes”.
  • Write a version for each language your customers use, and let people write it, not a machine.
In short: chat is perfect for the conversation, and a form is better for the order. Send the form in the chat, and get complete details the first time.
